Privacy Policy for The Dressage Coach app, website, EquiGuardian and related services.

The Dressage Coach ("we", "us", or "our") is committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use The Dressage Coach mobile application (the "App") and our website (thedressagecoach.com).

The Dressage Coach is the data controller responsible for your personal data. We operate in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and other applicable laws in England and Wales.

Information we collect

We may collect, use, store, and transfer different kinds of personal data about you, which we have grouped together as follows:

  • Identity Data: Name, username, and other profile information you choose to provide.
  • Contact Data: Email address, billing address, and telephone numbers.
  • Special Category Data (Health Data): Physical health information, including rider vitals (such as heart rate and similar training-related metrics), specifically collected through App integrations or manual input for training and safety purposes.
  • Location Data: Real-time geographic location via GPS (where you enable this), specifically used for the EquiGuardian safety features and venue finder.
  • Technical Data: Internet protocol (IP) address, login data, browser type and version, time zone setting, operating system, and platform.
  • Usage Data: Information about how you use our App, products, and services, including video uploads for coaching feedback.
  • Ride Data: Ride-related information you choose to record in the App, such as ride routes (GPS tracks) and associated ride details.
  • Horse Data: Information regarding your horse(s), including name, age, breed, and training level.
  • Marketing and Communications Data: Your preferences in receiving marketing from us and our third parties.

Minimum age

The Dressage Coach is intended for users aged 13 and over. Users aged 13 to 17 are encouraged to use the service with the involvement of a parent or legal guardian. If you are under 18 and use EquiGuardian or My Circle, we recommend that your Circle includes a parent, guardian or another trusted adult.

How we use your information

We will only use your personal data when the law allows us to. Most commonly, we use your data in the following circumstances:

  • Performance of a Contract: To register you as a new member, provide coaching services, and process payments.
  • Consent: Specifically required for the processing of Health Data and Location Data.
  • Legitimate Interests: For running our business, provision of administration and IT services, and network security.
  • Legal Obligation: Where we need to comply with a legal or regulatory obligation.

Apple Health and Health Connect

Where you choose to connect Apple Health or Health Connect, we request only supported health and fitness data used to provide rider-facing health, fitness, recovery and performance features. Depending on permissions, this may include activity, workouts, steps, exercise minutes, heart rate, heart-rate variability, sleep, active energy, weight, hydration and similar supported information. We do not use data obtained through Apple Health or Health Connect for advertising or marketing and do not sell it to data brokers or information resellers. You control these permissions through your device and may revoke them at any time. Health information shown by The Dressage Coach is for training and informational purposes and is not medical advice, diagnosis or treatment.

Shared horses, coaches and care providers

Horse owners may grant other users access to horse information according to role and permissions. Authorised collaborators may view or contribute information only to the extent permitted for their role. Owners control sharing and may remove access. Information deliberately shared with another user will be visible to that recipient in accordance with the feature used.

Live remote lessons, video and communications

Live remote lessons may transmit audio and video between rider and coach using communications infrastructure used by The Dressage Coach. A live lesson is not automatically a permanent recording unless the feature clearly indicates recording. Coach-supplied follow-up videos, CoachFlow submissions, uploaded media, messages and coaching notes may be stored to provide the relevant service.

EquiGuardian and location data

The EquiGuardian feature requires access to your device's location services.

  • Manual Trigger: The SOS alert and location sharing are triggered manually by the user.
  • Circle Sharing: Your location is only shared with the specific individuals you have designated in your "My Circle" settings.
  • Purpose: This data is used solely for rider safety and tracking during sessions.

Safety check-in and SOS

Where you enable EquiGuardian, Safety Check-In or SOS, we may process your location, safety status, timestamps, selected My Circle contacts and information required to send the alert or check-in. SOS is manually initiated unless a feature expressly states otherwise. Location and safety information is shared only with contacts you select for the relevant safety feature. The Dressage Coach is not an emergency service and does not guarantee that an alert will be delivered, seen or acted upon. You can change My Circle contacts and disable relevant permissions through the App or your device settings.

Artificial intelligence, machine learning and automated analysis

Some features may use artificial intelligence (AI), machine learning, computer vision or automated analysis to assist with coaching analysis, interpreting competition information, estimating gait, generating summaries, identifying patterns or producing rider-facing insights. Depending on the feature, processing may involve videos, images, competition documents, ride information, training information, horse information, coaching information or other content you choose to submit or make available.

AI-assisted outputs are probabilistic and may be incomplete or inaccurate. They assist riders and coaches and are not veterinary, medical, emergency, legal or other professional advice. Where separate consent is required before analysing sensitive or broader cross-feature data, we will request it first.

We may use specialist technology providers acting on our instructions to provide AI or automated-analysis functionality. Such providers must process information only for authorised purposes and subject to appropriate safeguards. We do not sell personal data to AI providers. We do not use Apple Health or Health Connect data for advertising or marketing. Health-derived data will not be disclosed to an external AI provider unless permitted by applicable platform rules and data-protection law and any required express permission has first been obtained. We do not make decisions producing legal or similarly significant effects about you solely by automated means.

Sharing your personal data

We may share your personal data with the parties set out below:

Internal Third Parties: Professional coaches and administrators within The Dressage Coach.

External Third Parties: We use service providers to operate the App and website, which may include cloud hosting, database/storage/authentication, app-store billing and subscription management, live audio/video communications, email/notifications, diagnostics/security/error monitoring, and AI or automated analysis where used by an enabled feature. They may process only information necessary for their role and are subject to applicable contractual or platform safeguards.

We do not sell your personal data. We do not use health data obtained through Apple Health or Health Connect for advertising or marketing.

International transfers

If we transfer your data outside the UK or EEA, we ensure a similar degree of protection is afforded to it by ensuring at least one of the specific safeguards approved by the Information Commissioner's Office (ICO) is implemented.

Data security and retention

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way. These include:

  • Encryption: Data is encrypted at rest and in transit.
  • Access Controls: Access to sensitive health and location data is strictly limited to authorised personnel.
  • Privacy Lock Centre: Where you enable biometric authentication (e.g., Face ID, Touch ID, or equivalent), biometric information is processed by your device operating system and is not stored by The Dressage Coach.
  • Retention: We retain personal data only for as long as reasonably necessary for the purpose for which it was collected and for applicable legal, accounting, security and dispute-resolution requirements. Ride routes are retained as part of ride history until deleted by you or your account is closed, subject to those requirements. You may choose to create and share ride cards or other ride information; completed ride routes are not made public by default. Account deletion is available through the App, after which associated personal data is deleted or anonymised within a reasonable period except where lawful retention is required. Backups may retain deleted information for a limited period before normal overwrite.

Your legal rights

Under certain circumstances, you have rights under data protection laws in relation to your personal data, including the right to:

  • Request access to your personal data.
  • Request correction of your personal data.
  • Request erasure of your personal data.
  • Object to processing of your personal data.
  • Request restriction of processing your personal data.
  • Request transfer of your personal data (Data Portability).
  • Right to withdraw consent at any time.
